1. Scope and roles
We act as a controller for personal information about visitors to the Site, people who contact us, and the users of our customers' accounts.
When a customer uses our services, we process personal information on that customer's behalf as its processor and service provider. This includes records from systems the customer connects, such as its CRM and its users' mailboxes, and the professional research we compile for it (see Section 3). The customer decides how that information is used, and its agreement with us governs our processing. The customer is responsible for having a lawful basis for the outreach it directs.
2. Information we collect about Site visitors and users
Information you provide. Name, work email, company and role; account and sign-in details; demo requests; support messages; and anything you send us.
Information collected automatically. Device and browser information, IP address and approximate location, pages visited, feature usage, timestamps, and diagnostic and security logs.
Information from others. Sign-in providers when you choose single sign-on, and analytics and security tools we use to operate the Site.
3. Professionals in our research
Our customers use IntelligentNoise to find the right people to contact at companies that match their business. To do that we compile business contact and professional information about people who work at those companies.
What we collect. Name, job title, employer, work email address, work or direct phone number, professional profile links, and publicly available professional information such as role history, public talks and articles, and company announcements.
Where it comes from. Public sources, including company websites, press releases, public registries and professional profiles, and licensed business data providers.
Why. So our customers can identify the right person at a company and contact them about business matters relevant to their role. We do not use this information for consumer marketing, and we do not sell it.
Your choices. If you are one of these professionals, you can ask us what we hold about you, correct it, delete it, or ask not to be included. Email support@intelligentnoise.ai. When we receive a request not to be contacted, we suppress you in our services and tell the customers concerned.
4. How we use information
We use personal information to provide, secure and support our services; to operate customer accounts; to respond to inquiries; to send service and security notices; to send marketing to business contacts who can opt out at any time; to improve our services using de-identified and aggregated information; and to comply with the law and enforce our agreements.
5. AI models
We use third-party AI models under terms that prohibit the provider from training its models on the data sent to it. We do not use our customers' data, or the materials we produce for them, to train or fine-tune any AI model.
6. Services we connect to
Some features work only when you connect an account of your own. We use each connection only for the feature it serves, store its access tokens encrypted, and you can disconnect it at any time from Settings.
Gmail and Outlook. When a rep connects a mailbox, we use the Gmail API (Google) or Microsoft Graph (Microsoft) to send the messages the rep confirms from their own address. If the rep chooses read and send, we also read replies to those messages so a sequence stops when someone answers. We keep records of the messages sent and replies detected in the rep's workspace, and we use mailbox data for nothing else.
HubSpot and Salesforce. When a workspace admin connects the company's CRM, we read the companies, contacts, deals and activity the workspace uses (for example, the last touch shown on an account) and, only when a rep confirms it, enroll a contact in a sequence or update the contact's record. We process these records on the customer's behalf, as described in Section 1.
Google user data. IntelligentNoise's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail data only to provide the sending and reply features a rep turns on. We do not use it for advertising, we do not sell it, no person reads it except with the rep's permission or where security or the law requires, and we do not use it to train or improve any AI model.
7. Legal bases (EEA and UK)
Where the GDPR or UK GDPR applies, we rely on: performance of a contract, to provide our services; legitimate interests, for security, service improvement and business-to-business outreach carried out for our customers; consent, where the law requires it, for example for certain cookies; and legal obligations.
9. International transfers
We are a U.S. company, and personal information may be processed in the United States and other countries. Where the law requires, we use appropriate safeguards such as Standard Contractual Clauses.
10. Retention
We keep personal information only as long as needed for the purposes above, to meet legal obligations, and to resolve disputes. Information we process for a customer is returned or deleted when our agreement with that customer ends, as that agreement provides.
11. Security
We use administrative, technical and physical safeguards designed to protect personal information, including access controls, encryption and logging. No system is completely secure.
12. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or port your personal information, to object to or restrict certain processing, and to withdraw consent. You can unsubscribe from our marketing emails at any time. To exercise your rights, email support@intelligentnoise.ai. We will verify requests as the law allows. If we process your information for one of our customers, we may refer your request to that customer.
13. U.S. state privacy rights
Residents of California and other states with privacy laws may exercise the rights in Section 12 and may use an authorized agent. We do not sell personal information or share it for cross-context behavioral advertising, and we honor Global Privacy Control signals where applicable. We will not discriminate against you for exercising your rights.
15. Children
Our services are for business use and are not directed to anyone under 18. We do not knowingly collect personal information from children.
16. Third-party links
The Site may link to third-party websites and services. Their own privacy policies apply.
17. Changes
We may update this Privacy Policy by posting a new version on this page with a new date, and we will give additional notice of material changes where required.
